This Data Retention Policy defines how long ARC keeps the different categories of data it stores, and what happens when an account is deleted. It complements the Privacy Policy and the Data Processing Agreement.
1. While your account is active
Your business data (products, sales, customers, suppliers, accounting records, files) is kept for as long as your workspace exists — it is your working record, and you can edit or export it at any time.
2. Invoices and accounting records
- Accounting documents and invoices are commercial records. The Lebanese Code of Commerce requires commercial books and supporting documents to be kept for up to 10 years; tax legislation imposes similar multi-year duties.
- Accordingly, invoices ARC issues to you (subscription billing) are retained for 10 years, and we recommend you apply the same period to the invoices and accounting records your business keeps inside ARC. Export them before deleting an account — deletion is subject to these legal duties.
3. Deleted accounts
- Soft delete — 30 days: when you delete your account (or your subscription is terminated), the workspace is deactivated and held for 30 days so an accidental deletion can be reversed on request.
- Permanent deletion: after the 30-day window, all workspace data is permanently erased within a further 30 days (i.e. at most 60 days after deletion), except records retained under section 2 or another legal obligation.
- Copies inside backups expire naturally with the backup cycle below.
4. Backups
Encrypted backups are taken daily and retained on a 30-day rolling window; a backup older than 30 days no longer exists.
5. Logs
- Technical and security logs (access logs, error reports, audit trails of sensitive actions): retained up to 12 months, then deleted or anonymised.
- AI Guide conversation logs: retained up to 12 months for quality and abuse review, then deleted.
6. Consent and acceptance records
Records of your acceptance of the Terms of Service and Privacy Policy (version, timestamp, IP address) are kept for the life of the account plus 10 years, as evidence of the contract under Law No. 81/2018 on Electronic Transactions.
7. Support conversations and emails
Support threads are kept while the account is active and up to 24 months after closure, so history is available if you return or a dispute arises.
